Credits and Backbilling 2 L. Giltner City of Mesa City Ordinance stipulates crediting back 3 years. I have seen a couple cases where customer's filed a dispute and the customer was credited back more than the standardized 3 years.

Auto Dialer 3 J. Gaio John - WE better see you at the next meeting! I almost forgot what you look like!What software are you using? Like Don, we use Paymentus . I agree that it is very cool and flexible! We also have used Phonetree in the past. It has limitations, but has a minimal cost. 2. Is it cloud based or is it running on your servers using your phone lines? 3. If cloud based are you paying a per call fee, monthly fee, or annual fee. Don must have a deal in his contract that it is free. I get charged after a certain number of free outbound calls/emails. I don't remember what it is. I don't think we have hit that limit yet.4. Is it compatible with Voip? It is VoIP Leslie, Town of Gilbert

Suspension of Service and Charges 5 J. Denlinger I'm sorry for the late response. Peoria is similar to Gilbert and will close out an account as Surprise does. After this process if the account is disconnected, no one responds and there is still no use after the follow up in the next week we will close the account for nonpayment. I have to check the settings to see if we can receive an email notice when someone posts a question. :)

Collection process/procedures 2 K. Wright Gilbert is similar to Surprise. We require deposits up front on accounts with a poor payment history or we will add a deposit later if an account has a history of late payments, disconnects or NSFs. The deposit is applied to the final balance when the account closes. We send collection notices within 30 days if the account is left unpaid and then at 60 days we will send it to Valley Collections for collection on the bill. It is reported to the credit bureau at that time as well.

Credit Card Processor 1 J. Gaio Hey John! Here are my answers:1. Who is your credit card processor? We currently use Automated Merchant Services.We use OpenEdge who works directly with TylerTechnology, our software company for several business functions. Our main goal in using them initially is real-time processing and no gateway fees. We are looking at other options at this time to expand into mobile payment capability. 2. How many merchant accounts do you have? We currently use nearly a dozen different merchant accounts. With OpenEdge, we have 5: Utility Billing, Permits, Licensing, Finance, PD records. There are other departments who outsource payments or go through another software that I don't work with. 3. Are your statements itemized by payment type or some other way? For example you have one merchant account that all credit cards payments are ran through and the fee is charged based on the payment type? Yes, everything is itemized. We know exactly how many and $ amount for Visa/MC/AmEx payments, what type of card was used and what fees were charged for that card type.Hope this helps!

Cashiering procedure 1 J. Gaio Our deposits are picked up by an armored car service. Staff balance and prepare a deposit slip and bag for their own till. Another staff collects all of them and verifies everything balances. Then it goes in a safe to await the daily pickup. We provide Finance with our reports, but we take care of the deposits and any cash ordering ourselves.
